Trail Advanced Reservations Terms and Conditions
Please read the
following terms and conditions carefully. The payment
for a reservation of any package constitutes the
customer’s acceptance of these Terms and General
Conditions. Authorization to use a credit card for
deposit and official payment also indicates the
customer’s consent to our Terms and General Conditions,
whether or not he/she has actually signed the
appropriate credit voucher or sales draft. Verbal
authorization or use of credit card confirms a
reservation. The customer shall be defined as any
traveler on a golf package.
IMPORTANT INFORMATION
To
maximize your golfing experience on Alabama’s Robert
Trent Jones Golf Trail, please allow ample time to make
your scheduled tee time by arriving at least 30 minutes
prior to your reservation. All of our facilities
operate in the central time zone. You
should generally expect a 4 hour, 20 minute 18-hole
round on any of our championship courses.
DEPOSIT AND PAYMENTS
A
deposit of $100.00 per person is required to confirm
reservations. Reservations received first will have
priority when securing golf course starting times. The
balance of the entire package is due no later than 30
days prior to day of arrival. This insures adequate
time for us to forward all travel documents to the
customer prior to their arrival date. No travel
documents will be issued before receipt of final
payment.
PAYMENT METHOD
Payments may be made by check drawn on a bank account,
VISA, MasterCard, Discover, American Express, Cashier’s
Check, or Money Order. All payments must be made in
U.S. funds. Make checks payable to Sunbelt Golf
Corporation.
CHANGES
Changes include changing dates, tee times, Trail
locations, hotels, or any combination. There is no fee
for changes. Packages will be re-priced at the time the
change is made, which may result in a price difference
from the one quoted at booking.
CANCELLATIONS AND REFUNDS
Cancellations include canceling players from the package, a portion of the package or the entire package. If a customer requests a cancellation and is willing to accept a rain check in lieu of refund, no cancellation fee will be charged; however, refund or rain check considerations involving golf cancellations (including no shows) occurring within 24 hours to arrival are subject to the course’s discretion.
Cancellations involving lodging accommodations require advance notice, vary by property and may incur a charge for one night’s stay. (Please ask package coordinator for more details regarding each property’s cancellation policy.)
If a rain check is declined, then the following cancellation fees apply:

30-15 days prior to arrival a $25.00 per person fee,
- 14-1 days prior to arrival a $50.00 per person fee,
- 24 hours prior to arrival will be subject to each course’s/hotel’s discretion.
No refunds will be issued for unused portions of a package once any part is used. If the customer fails to notify SunBelt Corporate office of his/her cancellation (full or partial), the customer is responsible for any costs incurred by SunBelt Golf Corporation. If package prices have been misprinted or misquoted, the customer will be offered the correct price or may cancel with a full refund.
RAIN CHECK POLICY
If a
golf course closes due to inclement weather, the
customer must go to the respective golf course, and
receive a rain check issued by the golf professional or
manager. Rain checks are valid one year from date of
issue. We will honor rain checks at any Robert Trent
Jones Golf Shop as well as payment towards future golf
packages.
SUBSTITUTION OF SERVICES
Sunbelt Golf reserves the right to cancel or modify any
part of a package at its sole and absolute discretion
for any reason whatsoever with or without prior notice
to the customer. If comparable service or
accommodations cannot be supplied due to causes beyond
our control, there will be no liability or
responsibility owned by Sunbelt Golf Corporation. In
the event complete cancellation is required by Sunbelt
Golf, our only liability will be to refund all monies
paid.
RESPONSIBILITIES
Sunbelt Golf Corporation books lodging, golf course
reservations, and issues all confirmations in the
capacity of an agent for the customer only upon the
express condition that Sunbelt Golf, it’s employees,
officers, directors or any individual representatives
shall not be held liable for any claims, losses,
personal injury, damages, costs, expenses, delays or
loss of enjoyment of any nature or which may be
occasioned by acts, omissions or negligence of the
persons or companies rendering any of the services.
Sunbelt Golf does not accept responsibility for losses
or additional expenses due to changes or delays in air,
road, or other services, sickness, labor disputes, war,
weather, or other causes. Sunbelt Golf shall not be
liable for any additional expenses caused thereby and
the customer hereby expressly waives any such claim for
loss, damage, or injury arising. Sunbelt Golf cannot
guarantee weather conditions nor can Sunbelt Golf be
responsible for any shut down, in whole or part, of the
operation of a lodging facilities, whether they are
caused by weather or for any other reason. Lodging
companies whose service may be included in the
arrangements are not to be held responsible for any act,
omission or event during the times the customer are not
on board their conveyance. The customer must present a
confirmation to each hotel or golf course for
redemption. Sunbelt Golf can assume no responsibility
for lost confirmations, gift certificates, or rain
checks. All terms and conditions are subject to change.
